ERP Project Manager

Location: Warsaw, Poland (Remote)
Compensation: Negotiable, based on experience

What will you do?

  • Own end-to-end delivery of ERP implementation, enhancement, and support projects, from project handover and mobilization through go-live, hypercare, and formal handover to support.
  • Act as the day-to-day delivery leader for US clients. Meet with clients and executive stakeholders during US overlap hours, set expectations, ensure requirements and decisions are captured and confirmed, and keep issues and dependencies visible early.
  • Serve as the bridge between the US-based client and consulting teams and the delivery team in Asia. Keep requirements, priorities, and context flowing cleanly in one direction, and progress, questions, and risks in the other, across time zones.
  • Ensure client and consulting requirements are translated into clear, well-scoped tasks and work packages for the Asia delivery team, with defined outcomes, priorities, and acceptance criteria, and hold that work to a high-quality standard so the team can execute with confidence.
  • Work closely with Novobi’s US Consulting team to align the project approach, functional priorities, client communications, and delivery decisions.
  • Build and maintain the integrated project plan, including scope, deliverables, milestones, workstreams, dependencies, owners, acceptance criteria, and critical path.
  • Establish a disciplined governance cadence that works across US and Asia time zones: project kickoffs, status meetings, steering updates, action tracking, and concise executive reporting.
  • Own the RAID process (risks, assumptions, issues, and dependencies), drive mitigation and recovery plans, and escalate decisions at the right time.
  • Coordinate the Asia-based engineering and QA delivery team with US consultants and shared specialists to maintain readiness, clean handoffs, quality, and accountability.
  • Manage resource allocation and capacity against the project plan; identify capability gaps, staffing risks, and conflicts before they affect milestones or customer confidence.
  • Control commercial health by tracking budget, actual effort, forecast, utilization, scope changes, delivery margin, and corrective actions.
  • Identify and manage scope creep. Prepare clear change requests or recovery options with the Consulting Lead and BOD when changes affect effort, timeline, budget, or margin.
  • Lead go-live readiness, acceptance planning, project closure, lessons learned, and transition to support so that delivery outcomes are sustainable.
  • Partner with BOD and delivery leadership to strengthen PMO capabilities, including delivery standards, dashboards, templates, quality gates, capacity planning, and coaching for project managers.

What will you build and develop?

Delivery Leadership & Client Trust

  • Lead structured project delivery for US clients, from launch through successful adoption and closure.
  • Develop executive-level communication, including clear status reporting, decision framing, and difficult stakeholder conversations.
  • Balance client expectations with delivery constraints while protecting quality, commitments, and long-term relationships.

Bridging US Clients and Asia Delivery

  • Ensure US client and consulting conversations result in a clear, prioritized backlog of tasks that a remote delivery team can act on without ambiguity.
  • Keep both sides aligned across time zones, so the Asia team always knows what matters most and US stakeholders always know where things stand.
  • Build the habits and tooling that make asynchronous, cross-region delivery reliable rather than fragile.

Commercial & Resource Control

  • Strengthen practical ownership of project budget, forecasting, utilization, margins, staffing, and change control.
  • Learn to turn delivery data into early action: replan, staff differently, escalate, or commercialize a change before risk becomes a loss.

PMO & Delivery Operations

  • Help shape a scalable operating system for project governance, project health, resource visibility, and delivery quality.
  • Coach team members on project discipline, ownership, communication, and continuous improvement.

ERP & Business Context

  • Build deeper exposure to ERP business processes and Odoo delivery through close partnerships with experienced US consultants and specialists.
  • Odoo product expertise is valuable; however, your primary contribution is to lead the delivery system that enables specialists to succeed.

Qualifications

  • At least 5 years of experience in project management, delivery leadership, professional services, ERP, SaaS, or business-solution implementation projects.
  • Proven ability to manage multiple workstreams, maintain a project plan, control milestones, and bring teams and clients to timely decisions.
  • Strong client-facing English communication skills, with confidence leading meetings with US stakeholders, writing executive-ready updates, and handling difficult conversations professionally.
  • Proven ability to translate business requirements into clear, structured, actionable tasks for a delivery team, and to keep that team unblocked and aligned.
  • Demonstrated experience managing project financials such as budget, actuals, forecasts, utilization, scope, change requests, and delivery margin.
  • Strong command of project management practices: planning, RAID management, governance, resource coordination, quality gates, change control, and escalation.
  • Ability to coordinate global cross-functional teams and influence people who may not report directly to you, including across regions and time zones.
  • Commercial awareness and sound judgment in balancing customer outcomes, delivery feasibility, and Novobi’s financial health.
  • Solid understanding of business processes and enterprise system implementation. Deep functional configuration expertise is not required for this role.
  • Detail-oriented, organized, resilient, and proactive, with strong follow-through on commitments and actions.
  • Willingness to work overlap hours across both US and Asia time zones several days a week, typically syncing with the delivery team earlier in the day and with US clients later in the day.
  • Willingness and flexibility to relocate temporarily or permanently to another Novobi office, when business needs and project assignments require on-site support.
  • Bachelor’s degree in Business Administration, Information Systems, Computer Science, Engineering, or a related field is preferred.

Preferred Qualifications

  • PMP, PRINCE2, PMI-ACP, Scrum, or comparable project-management certification.
  • Experience delivering ERP, CRM, e-commerce, or cloud business-solution projects for US or international clients.
  • Experience managing distributed or offshore delivery teams across multiple time zones.
  • Experience in consulting or professional services environments with fixed-price, time-and-materials, or retainer engagements.
  • Experience in manufacturing, supply chain, retail, distribution, field service, or similar operational environments.
  • Odoo delivery exposure, certification, or functional knowledge is a plus, not a prerequisite.
